怎样用英文写工作邮件?

在书写正式邮件或工作电子邮件时,首先应清楚内容应该简洁明了。遵守正式电子邮件的写作规则,能避免在电子邮件这类交际方式中常出现的一些问题,从而达到有效沟通的目的。
称呼语(Salutations)
友好和善意;对对方的尊重。 但是,如果就某一主题要跟同事写一系列的简短电子邮件,一般只需在第一封电子邮件里客套一下,在之后的邮件里就可以直接讨论,不用再写称呼语了。 问候的方式因人而异,没有一定的规则可循。一般来讲,在给一般同事或者不太熟悉的人写邮件时,可以直接以“Hello”开头,或者使用Hello+名字,如“Hello James”。如果是熟人,还可以用更加随意的称呼语,如“Hi”或者Hi+名字,如“Hi James”。 在另外一些情况下最好使用较正式的称呼语,以体现对对方的尊重,尤其是当对方比你年长,职位、头衔比你高,或者对方的国家或文化更强调礼节时。如果你不知道该如何称呼对方,对方是男士可以用Dear Mr +名字,如“Dear Mr Sanchez”;对方是女士可以用Dear Ms + 名字,如“Dear Ms Sanchez”。 一般来说,假如对方在电子邮件中只使用了自己的名(first name),你便可以省略姓而直接称呼对方的名。 使用比较正式的称呼语时,称谓必须准确。除了Dear Mr +名字或者Dear Ms +名字这种最普遍的称谓之外,如果对方是博士,就应该在称呼语中提到这一点,如“Dear Doctor Sanchez”。

内容和长度(Content & length)
写这封邮件的目的是什么?想让对方读完邮件后做些什么? 要知道大多数人每天在工作中都会收到许多封电子邮件,一封一封读完需要花很长时间。正因如此,写得很长的邮件是不受欢迎的!写邮件时,应直抒胸臆,内容清晰。可以从以下几个方面入手:
写好开头:最好用简短的语言点明主题; 利用段落:将正文分段,每段不宜写得太长,并且只包含一个要点,以方便读者快速理解; 在较长段落中,要注意不遗漏重要信息; 利用标题:如果邮件中包含几个方面的主题,可以考虑在正文中给每个部分拟贴切的标题; 利用序号:如果邮件中含有几个要点,则可以用序号将这些要点标识出来,这样对方在回复时也能更有针对性; 段落之间空一行; 使用短句:尽量使每句话最长不超过20个单词,这样既好读又易懂; 最后,如果可以的话,尽量将邮件正文安排在同一页面上,这样读者不用翻页或者下拉就可以读完整封邮件。
